I have a question about how we as a league will be keeping track of MILB prospects. Now obviously when we're in season we can all see which MLB players are taken, which teams they're currently owned by, and which MLB players are available on the waiver wire. However when it comes to prospects who are traded between teams how will the league know which prospects are owned. For example we have our own teams and those organizations funnel talent to our teams during the first year player draft, international signings, and the rule 5 draft but when we here in the league trade a prospect then how are we to post the newly acquired to our new team while dismissing that prospect from the prior team.
I sure hop this makes sense.

Thanks for the good question.
Again, I'm copying this method of operating from a different league. It seems to work pretty well, although a couple things along these lines took me by surprise when I joined as well.
There is no master list. (Considering the enormous amount of prospects, it would be an endless task.)
Teams should list on their roster page players under their control. Any time a player is acquired, there needs to be some record of this transaction. Free agent bids will be left in tact in case of ownership questions. Any trade threads should spell the players' names correctly and remain in the archives as well. Players that are added to our roster from the affiliated team will need to be shown in a "Protect/unprotect" post under "Roster transactions". In this way, there should always be a record of ownership.
At the moment, this is easy because all players belong to their respective organizations. In the future, if in doubt, you may need to run a search for that player's name to find where he belongs. Anyone completely unlisted is assumed to be with their real-life affiliated team.

Well that's the nice thing about if we use Fantrax we can have all our prospects on the team roster on Fantrax. On ESPN they will not be in ESPN until they get closer to the big leagues or already called up.

At times, players may very well slip through the cracks. We'll try as hard as possible not to let this happen.
The most common occurrence is that a team trades for a prospect or player, then fails to include them on their roster page. Usually, this is not deliberate, and a friendly reminder could be given to them whenever it's discovered. (Deliberately handing players to another team would result in being evicted from the league.) Sometimes, though, this does have to be a judgement call. From what I've seen, if a player on a non-guaranteed contract remains unlisted after about 2 or 3 months, then he returns to his affiliated team. (Example: 2 years ago Atlanta traded for J.D. Martinez. Atlanta never updated his roster to reflect this trade. When it was discovered 6 months later, it was determined that Martinez should belong to Detroit, because Atlanta had not been paying his salary.) Ideally, this will never happen. Realistically, it will, and will probably need to be handled on a case by case basis.
I should mention also, that we can't use the ESPN (or possibly Fantrax) waiver wire to find unowned players. Since we're using 3 regular season leagues, 2/3rds of the player pool will appear to be unowned.

The scenario refered to is only meant to describe deliberate collusion. (As in: Trading for J.D. Martinez, then unprotecting him in an attempt to help Detroit.)

I'm sure in time we'll be a cohesive group where hopefully we help each other out. I have been in leagues where the vultures pounce on situation and then bad blood is stirred up resulting in bad feelings of mistrust. I think in time we'll be okay as long as we have positive communication among the group.
